Employee and Client Gifts: Plan Now for the Holidays

Employee and client gifts people keep: branded Kesh mug, water bottle, notebook and cap

The end of the year is when most businesses stop to say thank you. If employee and client gifts are on your list this season, the best thing you can do is start planning now. A little time in October means better choices, a calmer budget and gifts that arrive before the holidays instead of after.

We help local businesses, agencies and organizations order branded gifts every year, and the same few questions come up every time. Here is the plan we share with our own clients.

Why a thank-you gift matters

Employees who feel seen are more likely to stay. Clients who feel appreciated stick around and send referrals your way. Employee and client gifts will not replace a heartfelt note or a phone call, but they give your thank-you something people can hold on to.

The goal is not to spend a lot. The goal is to send something useful that people are happy to keep, with your name on it.

Employee and client gifts for every budget

It helps to group your list into tiers so you can match the gift to the relationship. Here are a few ideas we love at each level.

  • Under $10 each: branded notebooks, pens people actually like, tote bags or a printed card with a small treat from a local maker.
  • $10 to $25 each: quality drinkware, cozy socks or beanies, candles, or a mug paired with coffee from a South Sound roaster.
  • $25 and up: soft apparel like a quarter-zip or crewneck, a gift box with several local products, or a quality insulated tumbler or backpack.

For employee gifts, think about what your team will actually use. Apparel they are proud to wear and drinkware that lives on their desk tend to stick around much longer than novelty items.

Make it personal

A personal touch is what turns a branded item into a real thank-you. A few easy ways to add one:

  • Include a handwritten note, even if it is only two sentences.
  • Mention a project you worked on together or a milestone you hit this year.
  • Buy from local makers and small businesses so your gift supports the community, too.
  • Choose sustainable or Made in USA products if those values matter to you and your clients. The FTC explains what the Made in USA label means if you want to check a claim.

If you work with public agencies, check their gift policies first. Many have limits on what staff can accept, so a handwritten card or a small treat for the whole office may be the better choice.

A simple ordering timeline

Custom gifts take longer than most people expect. Artwork needs to be designed or set up, proofs need approval and production and shipping take time. Work backward from the date you want gifts in hand:

  • 8 weeks out: set your budget, finalize your list and decide on tiers.
  • 6 weeks out: choose your items and send your logo or artwork.
  • 5 weeks out: review and approve proofs so production can start.
  • 2 weeks out: gifts arrive. Count everything and start packing.
  • 1 week out: deliver in person or ship so gifts land before the holidays.

Every item and supplier is a little different, so build in some extra time if you can. If you are reading this in late November, do not worry. There are still quick-turn options. You just want to make a decision sooner rather than later.

Questions to ask before ordering employee and client gifts

How many do we need? Start with your list, then add 10 percent for new clients, last-minute additions and replacements. Minimums vary by product. Some items can be ordered in small quantities, while others need a larger run to keep the price per piece reasonable.

Can we mix items? Yes. Many businesses order one item for everyone and add a second item for top clients or long-time staff. It keeps things simple without treating everyone the same.

What if we do not have artwork ready? That is common. A clean version of your logo is usually all you need to start. A designer can adapt it to fit the item, or create a special holiday version for the season.

Should our logo be front and center? Not always. For client gifts, a small logo or a short thank-you message often feels more personal than a large logo. For staff apparel, a bigger logo can be a point of pride.

Packing and delivery tips

  • Keep a simple spreadsheet with names, tiers, addresses and who is delivering each gift.
  • Hand-deliver gifts to your closest clients and partners when you can. Those visits are often the best part of the season.
  • If you are shipping, choose sturdy packaging and order a few extras in case something arrives damaged.
  • Pack the note on top so it is the first thing people see.
